This Privacy Policy explains how FlowAssistant (also referred to as “we”, “us”, “our”, or “the platform”) collects, uses, shares, and protects information when businesses use our software to manage leads, customer conversations, and follow-ups.

If you are a customer/end user messaging a business that uses FlowAssistant, that business is the controller of your information for its customer communications. FlowAssistant acts as a service provider/processor on behalf of the business.

1. What We Collect

A) Account and business information

• Business account details: name, email address, password (hashed), and basic profile settings.
• Billing and subscription details (where applicable) provided by you or our payment partners.

B) Customer conversations and lead data

• Messages, replies, and conversation metadata from connected channels (e.g., web chat, Meta channels).
• Lead/contact details captured through chat or forms (e.g., name, email, phone, booking/quote details).
• Automation and follow-up activity logs (e.g., whether an email was sent, timestamps, delivery errors).

C) Connected account and integration data

When you connect third-party services (such as Google/Gmail, Meta, or other integrations), we may store connection metadata and authorization tokens needed to provide the feature. We do not sell or rent this data.

D) Technical and usage information

• Log data (IP address, timestamps, error logs) to secure and operate the platform.
• Device/browser info and cookies used for authentication, security, and performance.

2. How We Use Information

• Provide the platform features (lead capture, messaging, automation, reporting, follow-ups).
• Send messages or emails you request to be sent to your leads/customers.
• Maintain platform security, prevent abuse, and troubleshoot issues.
• Improve reliability and user experience, including Google Analytics where analytics cookies have been accepted.
• Communicate with you about service updates, support, and account-related notices.

3. Google / Gmail Data (OAuth)

If you connect a Google account, FlowAssistant requests permission only to enable the features you choose. For Gmail sending, we request access to send emails on your behalf (e.g., follow-ups to leads).

We store OAuth tokens securely and use them only to send emails you initiate (manually or via configured follow-up automations). You can disconnect your Google account at any time in your settings.

4. How We Share Information

We do not sell personal data. We share information only as needed:

• Service providers: hosting, databases, logging, and infrastructure providers that support the platform.
• Connected channels/integrations: to send and receive messages or emails through services you connect (e.g., Google, Meta).
• Legal and security: if required to comply with law or to protect users, customers, or the platform from fraud or abuse.

5. Data Retention

We retain data for as long as needed to provide the service, comply with legal obligations, and resolve disputes. Businesses can delete leads and conversations through the platform. We may retain limited logs for security and operational purposes.

6. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, encryption in transit (TLS), and secure storage practices. No method of transmission or storage is 100% secure.

7. International Transfers

Your information may be processed in countries where our service providers operate. We take steps to protect data consistent with applicable data protection laws.

8. Your Choices and Rights

• Businesses: you can access, update, export, or delete your account data and disconnect integrations via your settings.
• End users: if you contacted a business using FlowAssistant, please contact that business directly to request access, correction, or deletion of your messages and related information.

9. Children’s Privacy

FlowAssistant is intended for business use and is not directed to children. If you believe a child has provided personal information, please contact us.
